How we work

A clear process, then a steady monthly rhythm.

Four steps to get started. Then the same schedule every month, so you always know when the numbers are coming.

The four steps

From first call to monthly service.

Remote, nationwide

All work is remote. Clients anywhere in the U.S.

No office visits. Everything runs through your accounting system, email, and scheduled video calls.

  1. Discovery call

A 30-minute conversation about the business, its systems, and what you need from the numbers. No charge.

  2. Proposal

A written scope and a fixed price. No hourly billing surprises.

  3. Onboarding

Secure access to your accounting system and bank feeds. A Health Check or Cleanup first, if the books need it.

  4. Ongoing

Books closed on a fixed schedule each month, a financial package delivered, and a standing line for questions.

Two ways in

Where you start depends on where your books are.

You don’t need to decide before the discovery call. We’ll recommend a path once we’ve seen the books.

Path A

Books in good shape

The books are current and reasonably clean. We can start monthly service right away.

  1. Discovery call
  2. Written proposal
  3. Onboarding
  4. Monthly service

Path B

Books need work, or you want the full picture first

The books are behind, or you want an outside read before committing to monthly service.

  1. Discovery call
  2. Health Check or Cleanup
  3. Findings and action plan
  4. Monthly service

The monthly calendar

The same schedule, every month.

Days refer to the month after the one being closed. Your proposal sets the exact dates.

Days 1–5

Statements close and bank feeds sync. You receive a short list of questions about anything the records can’t explain on their own.

Days 5–10

Every bank, card, and loan account is reconciled. Transactions are reviewed and categorized.

By the 10th business day

The month is closed. For controller clients, this includes adjusting entries, inventory, and accruals.

By the 15th

Your financial package arrives: profit and loss, balance sheet, cash flow, and a plain-English summary. Controller clients also receive the KPI report, margin reporting, and the updated cash forecast.

After the package

Your monthly call.

Bookkeeping clients: a walkthrough of the month’s financials: what changed, what to watch, and your questions.

Controller clients: the full P&L review, line by line, covering KPIs, margins, the cash forecast, and growth opportunities.

Communication

Straight answers, on a predictable schedule.

Email first

Questions go by email, and you hear back within one business day. Each one gets a direct answer, not a ticket number.

Scheduled calls

Video calls for onboarding, Health Check walkthroughs, and monthly reviews, booked ahead and kept on time.

Secure access

Access runs through your accounting system’s own user permissions. You own the books and can revoke access at any time.

Platforms

Your system, not ours.

Accounting systems

  • QuickBooks Online
  • Xero
  • NetSuite

Bill pay, spend & expense tools

  • Bill.com
  • Ramp
  • SAP Concur

And others.

The books stay in your accounting system. If you use something else, we’ll talk through the options on the discovery call.

Start with a conversation.

Thirty minutes, no charge. Tell us about the business and what you need from your numbers.
